Responsible For:

Crew Scheduling, Job Execution for Ship Maintenance Operations, Data Tracking/Input, Client Relations, and Job Cost Management

Overall Purpose of the Job:

Manage dive team safety and scheduling, internal data tracking/input, and job cost management in all aspects of crew planning, job planning, job execution, job closing, and client follow up. Obtaining more business through developing/maintaining client relationships.

Key Tasks and Responsibilities:

  • Manage the planning, execution, and closure of projects within SGS's business pipeline.
  • Drive the creation and closure of opportunities in maintenance, repair, and marine construction, ensuring updates in Salesforce CRM and monthly reporting to management.
  • Develop and maintain crucial relationships with shipping clients, partners, local agents, and vendors to strategically position SGS for project growth and increased referrals.
  • Lead all bidding and estimation activities for the Ship Maintenance department, overseeing projects from quoting to completion.
  • Review contracts and ensure SGS dive teams adhere to client expectations throughout project lifecycles.
  • Collaborate closely with the General Manager and Operations Team to manage scope planning for Ship Maintenance projects.
  • Ensure timely project delivery and maintain comprehensive documentation of project costs throughout all phases.
  • Coordinate crewing, boats, vehicles, and equipment schedules efficiently.
  • Conduct thorough project reviews at various stages to ensure quality and client satisfaction.
  • Uphold SGS core values within projects to consistently meet organizational mission goals.
  • Facilitate clear, timely communication with clients and dive teams to maximize project opportunities.
  • Provide accurate customer quotes and manage the sales pipeline in Salesforce CRM to enhance Key Performance Indicators.
  • Update job calendars with detailed client notes for easy reference by dive teams.
  • Liaise with the Reports Team to fulfill client requests promptly.
  • Expedite operational information to SGS Accounting for timely customer invoicing.
  • Plan and visit potential and existing customers/agents to expand business and strengthen relationships.
  • Resolve customer complaints related to sales and project execution with support from the General Manager.
  • Oversee job assignments and take responsibility for crew, gear, and equipment logistics.
  • Issue Gear Lists and provide detailed project information to Dive Supervisors/Project Managers.
  • Ensure all necessary job-related approvals and permits are obtained before project commencement.
  • Troubleshoot accounts payable issues with General Manager and accounting team.
  • Maintain frequent contact with local agents to update job calendars and coordinate dive crew schedules.
  • Manage assigned ship jobs to ensure accurate completion of job packets, CRM updates, and reports.
  • Supervise daily job calendar updates, phone communications, office emails, and crew scheduling.
  • Maintain positive relationships with SGS Vendors and oversee procurement of company consumables and materials.
  • Complete overdue reports and maintain Salesforce documentation for all job executions.
  • Stay informed about local waters, weather conditions, tides, and currents relevant to job sites.
  • Coordinate all third-party resources from opportunity opening to project closure.
  • Ensure compliance with WA state regulators for all cleaning requests and communicate regulatory processes to clients.

Job Requirements:

  • High School Diploma/GED, with some College, or College Degree preferred.
  • Minimum 5 years of experience in diving, administration, or operations fields including related fields of study/school programs.
  • Excellent written and verbal communication, as well as time management skills.
  • Critical thinking and problem-solving skills.
  • Multi-task oriented with an ability to perform under pressure.
  • Prioritize and pre-plan work to complete the most meaningful tasks first.
  • Fully focused on role priorities and delivery on personal goals.
  • Ability to interpret policies and procedures to make effective decisions and lead by example.
  • After hours mobile phone/email monitoring responsibility for 24/7 “emergency on call” duty.
  • Present a positive and professional image of SGS in the presence of customers, co-workers, and the community.
  • Strong business acumen and experience in handling logistics in a highspeed environment.
  • Strong program skills in Office 365 environment (Word, Excel, Outlook, PowerPoint, Projects).
  • Ability to type up to 60-80 words per minute.
  • Leadership and personnel management skills.
  • Ability to multi-task, including handling the demands of multiple projects concurrently.
  • Ability to perform under pressure while maintaining customer expectations.
  • Ability to demonstrate “customer focused” and “Innovative & Creative” solutions while assisting internal and external company customers in line with SGS Core Values.
  • Willingness to travel when required.

Preferred Skills:

  • Commercial Diver certification or diving experience required.
  • Ability to delegate tasks efficiently to maintain a structured office..
  • Strong problem solving skills
  • Ability to execute projects to specified deadlines.
  • Program skills (Salesforce and SharePoint).
  • Background in logistics.

Physical Demands:

  • Shall be able to exhibit a physical competency in handling moderate lifting.
  • Good health, physical stamina, fitness, and vitality.
